Mr B Dawson operates this private bookkeeping application ("the App") and is responsible for its use of personal information. It is used only for his own receipt imports and financial record-keeping. This notice covers that Gmail integration, rather than the separate customer ordering service.
What the App accesses
The App requests read-only access to Gmail (the
gmail.readonly scope), limited in practice to messages under
one specific label (WaveFinder/Receipts) in a single Gmail
account. It reads the sender, subject, date, and body text of labelled
receipt and invoice emails.
What the App does with that data
Receipt details, amounts, vendors, dates and necessary email evidence are processed for the owner's bookkeeping and tax records. They are stored in a private database hosted by Neon; Vercel hosts the App and processes its requests. These infrastructure providers process data under their applicable service and data processing terms. Information is not sold or used for advertising. Necessary records may be disclosed where a legal obligation requires it. The lawful bases are legal obligation for required tax evidence and legitimate interests in proportionate, accurate bookkeeping for other necessary records.
Who can access it
The owner is the App's only user. Access is restricted to him and the service providers' authorised processing and support under their terms. The App is not offered as a public email-access service.
Data retention
Financial evidence is retained for the applicable tax record period, rather than indefinitely. Where self-employed Self Assessment rules apply, this is normally at least five years after the relevant 31 January submission deadline, with longer retention only where needed for an applicable legal requirement or unresolved matter. Surplus personal detail and raw email evidence must be reviewed and removed when no longer needed; provider backups expire under their schedules. Requests about information handled by the App can be sent to the owner using the email below.
Privacy requests
Depending on the circumstances, an individual can request access, correction, erasure or restriction of their information, or object to processing based on legitimate interests. Contact the owner below; requests are normally handled within one calendar month. Privacy complaints are acknowledged within 30 days. You may also complain to the Information Commissioner's Office.
